How to cut your admin hours as a tradie (and win back billable time)

Nine o'clock, and you're replying to a customer text instead of eating dinner. Admin doesn't clock off when the job does — it just moves to whatever hour you've got left.

The fix isn't working harder or later. It's being honest about which parts of that pile are worth your actual attention, and which ones don't need you at all.

How much time admin actually costs you

Search this and you'll find a different number on every site — surveys that don't agree with each other, stats attributed to reports that, when you actually go and check, don't say what they're quoted as saying. We went looking for a solid source before writing this and couldn't find one worth repeating — so we're not adding another made-up figure to the pile.

What's true without needing a survey: the tasks are small, they're repeatable, they don't earn you anything on their own, and they don't stop. That's what makes them worth automating — not a headline number, but the shape of the problem.

The admin tasks worth handing off first

Not everything needs a system. These are the repeatable ones — the tasks you do the same way, for every job, whether you've got one on the books or twenty.

1. Answering the same questions, over and over

“Do you cover my suburb?” “What's included in the price?” “How soon can you come out?” Same handful of questions, every week, usually while you're halfway up a ladder. Answering them the moment they land means you're not stopping the job to type the same reply again.

2. Chasing a quote that's gone quiet

You've sent it, and now it's just sitting there. We've written the full manual cadence — and the automated version — in customer gone quiet after your quote?. Short version: this is one of the easiest admin tasks to hand off, because the message is nearly identical every time.

3. Job and appointment reminders

“Just confirming we're on for Thursday” texts add up fast once you've got more than a couple of jobs booked in a week. Sent automatically, without you having to remember whose turn it is.

6. Keeping your listing current, after hours

Your Google Business Profile is doing sales work while you're asleep — if it's current. Keeping it updated and covering the enquiries that land after you've closed for the day is admin that never technically had business hours to begin with.

None of this replaces the work only you can do — quoting a tricky job, deciding what a customer actually needs. It just clears the repeatable stuff off your plate first.
